Awesome Productivity Apps for Modern CPA Practices
With the business world climbing deeper into the "cloud" each week it can get hard to stay abreast with the frenzied tempo of technological change. Take a moment to look at a selection of simple productivity applications that might just help you keep your accounting firm on the cutting edge and still not cost you much money at all.
Launchy
This is an application I can't be in this world without, and I think you'll feel the same way once you download it. After using this app for a month I started to marvel at how it wasn't a helpful feature within every existing OS. With a simple press of alt and space, Launchy pops up, front and center, awaiting your input. For instance, if I wanted to open Adobe Photoshop I would start typing "p... h... o... " and then Launchy would start suggesting applications to launch. I would then highlight photoshop, or whatever program I was looking for, and the application will immediately launch. Better yet, Launchy learns your shortcut preferences. I need only type "F" to launch FileZilla. Once you've mastered the basics, feel free to play with the add-ons for Launchy such as Weby and Runner to perform advanced features that may increase productivity to allow you ample time to perfect your accountant website. Soon enough you'll be trying to use "alt + space" on someone else's computer and cursing them out for not having Launchy installed!
WinSplit Revolution
This one is tops for window organization. Instead of having to manually arrange windows into a messy, overlapping layout, view them all in an organized grid. This is reminiscent of the ability to left and right dock windows as in Windows 7. This can be useful when working on client files, reading up on the latest marketing tool, working on your accountant website, viewing competitors' sites, and emailing clients all at the same time. If you spend too much time dragging windows around in order to view everything on your monitor(s) without having any windows hiding, then this app is certainly for you.
UltraMon
This app is great for those of us who use multiple monitors but still need ten more! How often have you become frustrated that your windows taskbar doesn't span that extra monitor, leaving your primary monitors' taskbar looking like it's been squeezed in a vise. UltraMon extends your taskbar to all of your monitors and also adds many useful multi-monitor options. One of my favorite features (probably bad for productivity, but great for aesthetics) would be the wallpaper options. UltraMon adds amazing control over the desktop background, easily allowing fully spanning images across however many monitors you may have, or even a different image for all of them. You can even save custom preferences for screen savers and desktop icons.
TeamViewer
Easily the best application for remote access and remote support. As always, we love a free app, but this one has some other small perks. One of them being the lack of an annoying desktop driver. Instead of having to remember all of your machines or recording them elsewhere, you can create an account in Team Viewer to store all of that information. All you have to do is choose between the following: VPN, file transfer or remote control. Then connect. Of course, if you work with multiple clients, not all of them will have TeamViewer installed. This would normally make remote support a difficult and lengthy option, but with TeamViewer, you can ask clients to download the quick installer, which will very quickly generate a user ID and password.
Dropbox
Online storage is a must these days and goes hand in hand with remote access. With Dropbox, you can sync your application across multiple devices, making it extremely accessible. You can also share files and folders with others. While you may have an amazing CPA website design that already has a file sharing feature, Dropbox is a very valuable tool for the many firms struggling along without access to this technology. Free accounts award you with two Gigs of space, but you can efficiently accumulate up to eight Gigs if you endorse Dropbox to others.
If you want more than 8 Gigs, you may purchase additional space for about $200.
